Referral Source Reporting

Referral Source Reporting
Provides real-time reports about where your business is coming from, and more importantly, where it is not coming from, for proactive management, marketing and outreach.
IAMSystem Referral Management gives the option of entering user-defined referral source information for each appointment. Referrals may be generated not only from the physician who writes the actual order, but from friends, advertisements, outreach programs, community service activities, case managers, HMOs, industrial contracts, attorneys, inpatient-to-outpatient, and more. Hospital managers and administrators frequently need to know the volume of business that's being generated from all possible referral sources, for proactive marketing and management. Too often, managers and administrators do not realize they have lost a referral source until it's too late. With IAMSystem, real-time data and reports are easily accessed at the user level. Trends in referral patterns can be identified as they are happening.

Marketing efforts and negotiations with third-party payers depend on this data being readily available. For example, suppose that the administrative director for all ambulatory services for a health network has a meeting to negotiate reimbursement rates for their outpatient rehabilitation services. The administrator may quickly access reports that show the payer has been referring patients to certain services, but not to others. The administrator can then use this data to negotiate a new reimbursement rate, or accept the current rate, but with an agreement to gain new referrals to the other services.

Insurance Authorization Tracking
Ensures that all services requiring pre-authorizations have them in place before the services are provided, eliminating added bad debt due to denial of payment.

IAMSystem provides a user-defined tickler system for making sure authorizations are in place prior to scheduling and providing a service. Hospitals lose revenue when services that require pre-authorizations are provided without those authorizations in place. Managers can spend an inordinate amount of time back tracking with attempts to gain authorization after the fact, usually without success. Most often, these denials are added to the hospital's growing bad debt. Administrators tell providers and schedulers to simply be more careful. But with productivity rates higher than ever before for both clinical and support staff, human error cannot be eliminated without intelligent automation to assist in the mission.

IAMSystem shows flags for visits that require preauthorization. IAMSystem then stores the number of approved visits, approved date range and approved dollar limits, and creates an automatic tickler system as authorized services are used. IAMSystem alerts when user-defined thresholds are reached, and will send a message if the scheduler attempts to schedule an unauthorized visit. Internal personnel are assigned as the responsible party for ensuring any patients who are at or past threshold receive proactive intervention. Accountability is established. This ensures no gaps in the patient care due to waiting for re-authorizations and no denials of payment due to providing unauthorized services.

Charge Entry
Eliminates lost revenue due to lost or late charges and automates the auditing process.

The Charge Entry component expedites the processing of entering charges and sending them directly to your hospital billing system via our established interfaces. This component may be active for some departments and not for others. While some services may already charge from Order Entry or another electronic form, other departments may still be using disparate systems and/or paper systems, with no audit trail for ensuring all charges were actually submitted. IAMSystem has a charge ticket attached to every scheduled event. Simply click on "Charges" from the provider's daily schedule and only charges relevant to the patient type and provider type will appear. Charge codes and descriptions are user-defined and are copied from and maintained by your charge master files. Auditing and error reports are active only for those services using the IAMSystem Charge Entry feature.
